Privacy Policy

What we collect when you use this website or contact us, why we hold it, who sees it, and the rights you have over it.

Who we are

AJ-Security provides security, door supervision, event and fire warden services across Cumbria. Our office is at 12a Selby Terrace, Maryport, Cumbria, CA15 6NF. We decide how the information described on this page is used, which makes us the data controller for it. You can reach us on 01900 368777 or at admin@aj-security.com.

What we collect

If you send an enquiry

Your name, email address and phone number, the service you are interested in, and the message you write. We also record which page the form was sent from so we know what you were reading.

If you apply for a job

Your name, email address and phone number, the role you are applying for, your security experience, your qualifications and licence details including expiry dates, your driving licence details (category, points or endorsements and restrictions), your availability, the answer you give to why you would be a good fit, and the CV or résumé you upload. We also record which page the application came from.

If you use Ask AJ, our AI assistant

The messages you send in the chat, and any details you choose to include in them. The chat is intended for questions about your security requirements, so please keep sensitive information out of it.

Technical information

Like any website, our hosting platform records standard technical information about requests, including IP address, browser type and the pages requested, so the site can be served and kept secure. Our own pages do not use analytics or advertising cookies.

How we collect it

  • Through the enquiry form on the home and contact pages.
  • Through the job application form on the apply page, including the CV upload.
  • Through the Ask AJ chat on the Ask AJ page and in the chat button around the site.
  • Through an email, phone call or message you send us directly.

Why we hold it, and our lawful bases

  • To reply to your enquiry and prepare a quotation. Where you have asked us to take steps before entering a contract, the lawful basis is that step (UK GDPR Article 6(1)(b)). Otherwise it is our legitimate interest in responding to people who contact us (Article 6(1)(f)).
  • To provide the services you have booked. The lawful basis is the contract with you (Article 6(1)(b)).
  • To consider your job application. The lawful basis is our legitimate interest in recruiting (Article 6(1)(f)), and our legal obligations around right to work and licensing where those apply (Article 6(1)(c)).
  • To run and secure the website. Our legitimate interest in keeping the site available and protected (Article 6(1)(f)).
  • To send you occasional updates, only if you have asked for them. The lawful basis is your consent (Article 6(1)(a)), which you can withdraw at any time.
  • Records we must keep. Our legal obligations, for example for accounts, insurance and incidents (Article 6(1)(c)).

We do not use your information to make automated decisions about you, and we do not build profiles of visitors for advertising.

Marketing

The enquiry form has an optional tick box for occasional updates. It is never pre-ticked and you can send an enquiry without ticking it. Tick it and we may contact you about our services from time to time. Ask us to stop at any time by replying to us or emailing admin@aj-security.com, and we will stop.

Who we share it with

We do not sell your information and we do not share it for advertising. We share it only with the providers that make the website and our email work, and where we are required to by law.

  • Base44 provides this website and app: hosting, the database where enquiries and applications are stored, private storage for uploaded CVs, and the AI assistant that powers Ask AJ.
  • Resend delivers the notification emails that tell us a form has been submitted.
  • Google Fonts serves the font files used on these pages, which means your browser contacts Google when a page loads.
  • Our own email mailboxes, which are accessed only by AJ-Security staff, and which hold the enquiry and application notifications.
  • Professional advisers, insurers or authorities where we are required to share information or need to for a claim.

These providers act on our instructions, or as independent controllers for the parts they are responsible for, and they are only given what they need to perform their part.

CVs and applications

An uploaded CV is stored in private file storage, which means it is not publicly accessible and only opened through our own systems. The application is also emailed to our recruitment mailboxes with the CV attached, so it is held in email as well as in the app, both accessible only to staff involved in recruitment.

If a CV happens to include special category information, such as health details or information about a disability, we use it only as far as it is relevant to the recruitment decision or to making reasonable adjustments for an interview, and we do not pass it on to anyone else.

Transfers outside the UK

Some of the providers above may process information on servers outside the UK. Where that happens, we rely on the transfer safeguards those providers put in place, such as the UK International Data Transfer Addendum or UK-approved standard contractual clauses. Ask us if you want more detail about a specific provider.

How long we keep it

We keep information only for as long as we need it for the purpose it was given.

  • Enquiries are kept while the enquiry or the work that follows is live, and for a short period afterwards so we can pick the conversation up if you come back to us.
  • Job applications are kept for as long as the recruitment process needs them. Unsuccessful applications are deleted once the vacancy is closed unless you have asked us to keep them on file.
  • Ask AJ conversations are kept as part of the app's records so the team can see the context of an enquiry.
  • Records we must keep for legal, insurance or accounting reasons are kept for as long as that requirement lasts.

How we protect it

The site is served over an encrypted connection. Enquiries and applications are stored in a database that only signed-in administrators of the site can read, not other visitors. Uploaded CVs are held in private storage rather than on the public web. Access to our inboxes and site administration is limited to the people who need it.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you;
  • have inaccurate information corrected;
  • ask us to delete information we no longer need;
  • ask us to restrict what we do with it, or object to how we are using it;
  • withdraw any consent you have given, at any time;
  • ask for your information in a portable format where that applies.

Email admin@aj-security.com to make a request. We respond within one month. We may ask you to confirm your identity first so we do not give information to the wrong person.

Withdrawing consent

Where we rely on consent, you can withdraw it by emailing admin@aj-security.com or by telling us when we speak. Withdrawing consent stops future use for that purpose. It does not affect anything we did with your information before you withdrew.

If you are unhappy

Tell us first on admin@aj-security.com so we can put it right. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk, on 0303 123 1113, or by post to ICO, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

Ask AJ and AI processing

Ask AJ is an AI assistant. The messages you send are processed by an AI model through our website platform so a reply can be generated, and the conversation is stored in our app. Do not use the chat for confidential, medical, financial or other sensitive information. Answers can be inaccurate and are not professional advice. See our website disclaimer for the limits of what Ask AJ does.

Children

This website and our services are intended for adults and businesses. We do not knowingly collect information from children. If you think a child has sent us information, contact us and we will delete it.

Changes to this notice

If the way we handle information changes, we will update this page and the date at the top. Please check back if you want to see the current version.
